The Finnish way to school improvement: evidence-based, holistic and human-centered school analysis

Reading time: 5 minutes

In our client work we see a lot of schools that have a clear vision, strategic planning, and strong support for teachers. We say, “Well done” and give it a solid ten. At the beginning of the year everyone is motivated, full of energy, and ready to start off with a bang. But then it happens – the slump. The best intentions and visionary speak meet the reality of “Tuesday morning” and you can feel how the best laid plans start to slip through your fingers.

This is where leadership quality and continuous communication strategy come into play. But there is something else that our clients have pointed out to us: outside perspective. Preparing for that inevitable reality check by making sure that you have access to outside perspective, when needed or at regular intervals, has proven not only effective, but surprisingly motivating.

Why?

Outside perspective can keep us honest by holding ourselves accountable. It can help to gauge what is truly an emerging issue and what is simply our own bias at play, or worse, a pet topic of ours that gets oversized attention. It helps regulate our perspective amidst a lot of noise.

In an educational setting, it’s important to be able to step back and connect our everyday work to the bigger picture. The outside perspective is not caught in detail but helps see the wood for the trees. It can help evaluate if we’re on track to where we want to be, whether that’s redesigning a curriculum, navigating rapid growth, or planning an infrastructure expansion.

At Polar Partners, we believe that sustainable school development starts with a clear understanding of where you are and envisioning where you want to be. Our School Analysis offers an objective, evidence-based evaluation that helps schools to uncover blind spots, validate strengths, and identify opportunities for meaningful growth. By bringing in global expertise rooted in the world-renowned Finnish education model, we help schools take better-informed steps towards excellence.

Building on insight, not assumption

Before investing time, resources, and energy into school development, it is essential to understand your school’s current state. A thorough analysis provides a baseline — a clear picture of what’s working, what’s not, and why. Without this foundation, development efforts risk being misaligned, inefficient, or unsustainable.

An external analysis helps schools:

  • Avoid assumptions by basing decisions on evidence, not intuition.
  • Prioritize effectively by identifying the most impactful areas for improvement.
  • Engage stakeholders by involving the whole school community in the process to gain a holistic view.
  • Build trust and transparency through objective, third-party insights.
  • Create a shared vision that aligns leadership, teachers, and families.

In short, analysis is not a delay to development — it’s the smartest way to begin, helping save both time and resources along the way.

What is Polar School Analysis?

Our School Analysis is a comprehensive, expert-led process designed to support schools in enhancing their educational quality. It is based on the Polar School Concept, which identifies six key areas of school development:

  1. Curriculum – We evaluate the structure, content, and alignment of the curriculum with 21st century skills and diverse student learning needs. We look at how the curriculum fosters critical thinking, creativity, collaboration, and digital literacy, and how it supports student well-being and personalized learning paths that prepare students for the future.
  2. Leadership and management – Our analysis looks at the school culture; how the school is led, how decisions are made, and how strategic goals are put into practice. It also considers how leadership supports teachers and the broader school community by promoting a shared vision, encouraging collaboration, and creating a culture of trust, inclusion, and continuous improvement. Teacher capacities – We assess how well teachers are equipped and supported to meet the needs of all learners, including their pedagogical skills and access to professional development. We also examine how effectively teachers can foster future skills, differentiate instruction, and create inclusive, engaging learning.
  3. Learning environments – Our team reviews the physical and digital spaces where learning takes place. This includes the analysis of the overall layout and adjacencies of spaces, classroom design, safety, accessibility, and the flexibility of spaces to support different teaching methods and learning styles. We look at how the learning environments help enhance student engagement and collaboration and improve well-being and learning outcomes.
  4. Learning materials – We analyze the quality, relevance, and accessibility of the tools, books, software, and other resources used to support teaching and learning. We consider how well materials align with the curriculum, support diverse learners, and integrate technology to enhance learning outcomes.
  5. Student well-being – Finally, our analysis process also focuses on the emotional, social, and physical well-being of students, recognizing it as a foundation for effective learning. This includes looking at the school-day structure and balance between breaks and study time, support systems that are in place, school culture, inclusion practices, and how the school fosters a safe, respectful, and nurturing environment where every student feels seen and supported.

The result? A tailored set of recommendations and a clear roadmap for development — aligned with your school’s vision and goals.

How does the analysis process work?

Our process is structured, inclusive, and collaborative:

  1. Kick-off: We start by aligning with school leadership to define goals, timeline, and expectations.
  2. Desk review: We analyze existing documentation to understand the current state.
  3. Stakeholder engagement: Through interviews, surveys, and workshops, we gather insights from the entire school community.
  4. On-site observations: Our experts visit the school to observe the structure of the school day, learning environments, teaching and learning, and leadership in action.
  5. Analysis and recommendations: We synthesize findings into a comprehensive report with actionable steps.
  6. Development planning: We support the creation of a School Development Plan to guide implementation.

This inclusive approach ensures that development is not only evidence-based but also embraced by the whole community.
